How to manage spam with Microsoft Outlook 2003/2007?

Note: Following steps are applicable for both Microsoft Outlook 2003 and 2007.

1. On the Tools menu, click Rules and Alerts…

Tools > Rules and Alerts

2. Under E-mail Rules tab, click New Rule…

Rules and Alerts

3. Select ‘Move messages with specific words in the subject to a folder’ and then click Next to proceed to the next screen.

Rules Wizard

4. By default the ‘with specific words in the subject’ condition (which we intend to do) will be checked.  In the lower field (Step 2), click on the specific words (underlined blue link) and then type “*****SPAM*****” in the first text field. Click the Add button when done.

Specific Words

5. Select “*****SPAM*****” from the “Search list” and hit the “OK” button.

Search Text

6. Click “specified folder” (underlined blue link) as shown in the screen below.

Specified Folders

7. Select the “Junk E-mail” folder. Then click the “OK” button.

Choose a Folder

8. Click the “Finish” button and you're done!

Setup Success

Do note that Integricity's email scanning engine will tag the subject of suspected spam with *****SPAM***** [subject]. The above steps will automatically move all suspected spam email to the “Junk Email” folder, keeping your Inbox as clean as possible with only legit emails. However, you are advised to check your “Junk E-email” folder occasionally to ensure that no legit emails are filtered as spam.
